GDPR Privacy Notice Data controller: Fulham Good Neighbours Service The organisation collects and processes personal data relating its sponsors, stall holders, service providers, volunteers and Fair participants taking part in the raffle, in order to be able to co-ordinate and run this annual fair. The organisation is committed to being transparent about how it collects and uses that data and to meeting its data protection obligations. What information does the organisation collect? The organisation collects and processes a range of information about you. This includes:- For stall holders, suppliers and providers who do not operate as a company:- basic personal information and contact details (including name, address, telephone number and email address) records of communication and interactions we have had with you; For Parsons Green Fair volunteers: basic personal information and contact details (including name, address, telephone number, email address and next of kin details) For fair participants taking part in the raffle: basic personal information and contact details (including name, address, telephone number and email address) The organisation may collect this information in a variety of ways. For example, data might be collected at the time when you submit a Fair application document, when applying to become a volunteer at the Fair with us or during subsequent conversations and correspondence or when buying a raffle ticket. Why does the organisation process personal data? The organisation has a legitimate interest in processing your personal data in order to run the Fair.     Parsons Green Fair is managed by Fulham Good Neighbours Service, a private company limited by guarantee, registered charity No 1113752. TERMS & CONDITIONS By Management / Organisers we shall mean PARSONS GREEN FAIR committee on behalf of Fulham Good Neighbours registered charity No 1113752 the sole beneficiary of the even. Full payment must accompany all bookings – Payments by BACS must include your company/charity/school name. BOOKINGS ARE NOT CONFIRMED UNTIL A BOOKING CONFIRMATION IS ISSUED. If for any reason your booking is not confirmed any cleared payments received will be refunded. FINAL DATE FOR APPLICATIONS IS 1ST May 2026. Only quality goods, services and/or craftwork at a fair price should be on sale. These should be appropriate for a community fair. You must not offer second‐hand electrical or counterfeit goods. Stall holders must not sell any animal, bird, fish or any other living thing. Inflatable toys (hammers, bats etc), helium balloons and toy knives are not to be sold or given as prizes during the event. These items may be confiscated by the event organisers or police. No alcohol is to be sold from the pitch or stall. No amplified music is permitted on the stall(s) without prior permission. Charity rates are only available to registered charities providing a valid charity registration number which will be verified. Only those items listed on Booking Form will be provided – stallholders are expected to supply any other equipment they require. Management shall be responsible for determining pitch locations. If a specific location is required for any reason this should be stated at the time of application and we will make every endeavour to accommodate such requests and is entirely at the discretion of the organisers. Stalls must be set up by 10.00am and be staffed throughout the day and meet a good standard of presentation. It is recommended that all stall/ pitch holders take out indemnity insurance to cover themselves against any accident(s) or any claim(s) by a purchaser of their goods /services. There are new Council rules for vehicles to protect the grass and trees on the Green. Vehicles should use the hard-standing paths and then may drive onto the grass but not under the canopy of any tree. Hazard lights should be used when on the Green and a 5 MPH limit observed. Please unload quickly and then move your vehicle away. No vehicles are permitted to remain on Parsons Green between 10.00 and 18.00 on the fair day other than vehicles which form part of a stall, E.G. vehicles from which food/drink are served. Stallholders are responsible for parking costs for any vehicles they bring. Vehicles must leave the Green by 21.00 hrs on the day of the fair. If you are running an activity on your stall in which members of the public are expected to participate please enclose a risk assessment with your Application Form. Food outlets are required to display a current Food Hygiene Rating Scheme Certificate (or equivalent certification from the Local Authority with whom you are registered) and appropriate fire extinguishers. Please note that you may be subject to a spot check on the day. The operation of any food business/stall must comply with the Food Hygiene England Regulations 2013 and the Health & Safety at Work Act 1974. This is only applicable to food sold for consumption on the day. Please note stalls offering high risk foods, e.g. burgers/meat products, sandwiches etc., must have appropriate hand washing and sanitising facilities in place. Stalls offering animal handling must provide hand washing and sanitising facilities. No petrol generators are allowed at all on the green as per instructions from the local authority. Tables may not be dismantled before the fair closes at 17.30 unless management exceptionally agrees. Upon closure of the fair, stallholders agree to clear any rubbish away from the area around their stall and to take rubbish bags away with them or place in bins provided. Management cannot be held liable for: loss or damage to any goods or property whilst exhibiting, loading and unloading. Stallholders are responsible for the security of their stall(s), equipment, stock, cash and any other property. any injury you or your staff or colleagues may incur, sustain or suffer whilst present at the fair unless such injury is caused by our negligence loss of monies or lack of earnings caused by the position of the stall/pitch or any other cause any penalty imposed by anybody due to the applicant/stall holder’s failure to comply with any statutory requirements concerning their trading activities any injury to, or illness of, any person or any damage to property caused by the stall holder resulting from any or all of its activities in connection with their stall/pitch or at the fair Management reserve the right to cancel a booking on the day, if in their opinion, the stallholder: is not complying with any of these terms and continues not to comply after having been requested to do so; is creating a nuisance or danger to attendees or other stallholders; is not complying adequately with any of the fair organisers reasonable requests; does not remove a vehicle from the Green after being requested to do so; is selling products or services which do not match the description on the booking form; or is absent from his stall for an unreasonable period No refunds will be made to any stall/pitch holder who is unable to attend on the day. If full, cleared payment of the amount on the Booking Application has not been received for a booking prior to 1st MAY 2025, that booking will be automatically cancelled and entry to the fair shall not be permitted. If a booking is cancelled at least 4 weeks’ prior to the date of the fair we will refund 50% of any amount you have paid. After that date no refunds will be given. If you fail to attend on the day you will be charged the full rate against your payment. No Sub-letting – when you reserve a stall/pitch it is for sole occupancy and must not be split between others on the day of the fair. Management cannot be held responsible for circumstances beyond their control which may lead to the event being disrupted, postponed or in severe cases cancelled. Such circumstances could be adverse weather, civil unrest etc. No refund will be given but every effort will be made to continue or re‐schedule the event at the earliest opportunity. Parsons Green Fair is committed to using as few single-use consumer plastics as possible. We support the national effort to eliminate all avoidable waste and hope our stall-holders, food and drink vendors and guests will work with us to create a cleaner, greener community.

    Stallholder FAQs Timings Q: What time can stallholders start setting up stalls? A: Stallholders can start setting up from 07:00. Vehicles can be unloaded between 07:00 - 09:45. Q: Are there any rules regarding vehicles on the Green? A: Yes. To protect the grass and trees, the Council rules state that vehicles should use the hard-standing paths for access. Vehicles can then drive onto the grass in order to unload but not under the canopy of any tree. Hazard lights should be used when on the Green and a 5mph limit observed. Q: What time must vehicles be off the Green? A: All vehicles must be off the Green by 10:00 with the exception of those that form part of a stall, e.g. food and beverage suppliers. Q: At what time must the stall set up be complete? A: All stalls should be set up by 10:O0. All stalls must have a good standard of presentation and be staffed throughout the day. Q: What time does the event open and close? A: The event opens at 11:00 and closes at 17:30. Q: At what time can stalls be dismantled? A: Stalls cannot be dismantled before the event closes at 17:30. Q: When are vehicles allowed back on the Green? A: Vehicles are not allowed back on the Green until 18:00. Q: What is the deadline for leaving the Green? A: Packing up should be completed by 20:00 with all vehicles removed by 21:00 at the latest. Parking Q: Where is the car park? A: The Hurlingham Academy, Peterborough Road, Fulham, SW6 3ED Q: Does parking have to be paid for? A: Yes. Charges are £20.00 for a car and £25.00 for a van. Booking forms for car parking will be issued prior to fair day. Q: How many vehicles can stall holder’s book? A: One vehicle only per stall holder. Q: When does the car park open? A: The car park is open between 07:00 -11:00 and 17:00 - 19:00. The car park is closed between 11:00 - 17:00. Stall holder bookings Q: I have submitted an application form: so is my booking confirmed? A: Bookings are not confirmed until a booking confirmation has been issued. Q: What is the deadline for applications? A: The final date for applications is 1st April 2026. Applications should be submitted with payment. Any applicants thereafter must email stalls@parsonsgreenfair.org to discuss availability. Q: What is the size and price for a pitch only? A: A pitch only is 12ft by 12ft and costs £130 for a commercial concern or £55 for a charity. Q: What is the size and price for covered stalls? A: One covered stall including a table is 7ft x 3ft and costs £150 for a commercial concern or £60 for a charity. Two covered stalls including tables is 14ft x 3ft and costs £250 for a commercial concern or £85 for a charity. Q: Do tables cost extra? A: Tables are included in the cost of covered stalls. For pitch-only sites, 6ft x 3ft tables cost: £15 each for commercial concern; £10 each for charities. Chairs are no longer available. Q: Can payment be made by cheque? A: No. Payment must be made by BACS quoting your company name on the bank transfer. Q: What are the banking details for payments? A: BACS payments should be made to: HSBC Account name: Parsons Green Fair Sort code: 40-05-20 Account number: 82311666 Please note that the bank account details have changed from previous years. Q: Can I cancel my booking and get a refund? A: If a booking is cancelled at least 4 weeks prior to the date of the event a refund of 50% will be made. After that date no refunds will be given. Q: Can stall holders choose their pitch position? A: Management will determine the pitch locations. If a specific location is required for any reason this should be stated at the time of application. A: No. We are happy to provide 6ft x 3ft tables at the additional cost of: £15 for for a commercial concern; or £10 each for a charity. Chairs cost £10 each for a commercial concern or £5 each for a charity. Power Q: Can I have electricity/power to my stall or pitch? A: No. We are unable to provide electricity/ power to individual stall holders. Stall Contents Q: Can stalls have amplified music playing? A: No, not without prior permission. Q: Are there any products, services and/or craftworks that are not allowed to be sold or given as prizes during the event? A: Yes. There are two pubs along the green. First Aid Q: What is the first aid provision? A: There will be a first aid station on hand with a qualified first aider throughout the day. Event Office Q: Where do I go if I have any questions on the day? A: The event office will be situated in a marked tent and will be manned from 07:30 to 1 8:30. Q: Are public toilets available at the event? A: Yes. Toilets, including one disabled access toilet, will be available throughout the day. Water Q: Is water available at the event? A: No. Please provide your own water during the day. There are numerous food and beverage suppliers where water can be purchased.
